What Claude Can Actually Do for a Small Business Owner

It's 3am. You need a proposal out by 8. You've written the first paragraph three times and it still sounds like a press release about yourself.

That was the moment most business owners I've talked to actually try an AI tool for the first time. Not out of curiosity. Out of desperation. And usually, they go to ChatGPT because it's the name everyone knows.

Here's what fewer people talk about: Claude. It's made by a company called Anthropic, it costs $20 a month for the Pro version, and it handles certain business tasks better than anything else I've found. This article covers what it actually does well, where it falls down, and what you need to know before you spend an afternoon testing it.

What Claude actually is

Claude is a large language model. That's just a way of saying it's trained on enormous amounts of text and learns to produce useful responses to questions and instructions.

It does not browse the internet in real time by default. It does not run your software. It does not know what happened last week. What it does well is read, write, reason through structured problems, and handle large documents without losing track of what's in them.

That last part matters for a business owner. Claude's context window (the amount of text it can hold in a single conversation) sits at around 200,000 tokens, roughly 500 pages of material. You can paste in a contract, a policy document, a long email thread. It reads the whole thing and gives you a useful answer. That is genuinely useful and I use it that way regularly.

Five things it can actually do for you

1. Writing proposals

Give Claude the following: what service you provide, who the client is, what problem they have, and what you're proposing to do about it. Ask it to write an executive summary and a scope of work.

You will not get a finished proposal. You will get a solid first draft in about 90 seconds. The structure is clean. The logic usually holds. You will spend 20 minutes editing it instead of 2 hours staring at a blank document.

A prompt that works:

I run a [type of business]. A client named [name] needs [problem].
My proposal is to [solution] for $[price] over [timeline].
Write a one-page proposal in plain English. No corporate language.

That's it. The draft it returns is a starting point, not a finished product. You still have to read it, cut the parts that sound like nobody you know, and add the specifics only you know. But you are editing, not writing from zero. That distinction matters when you are also answering calls and running a crew.

2. Responding to customer complaints

A two-star Google review lands. Your instinct is to either ignore it or fire off something defensive. Neither is good for business.

Paste the review into Claude. Ask it to write a public response under 100 words that acknowledges the frustration, explains what happened, and offers a resolution. Tell it to keep the tone professional and avoid defensiveness.

What you get back is usually usable with minor edits. Claude is good at pulling the emotional charge out of a response while keeping it human. The key instruction: "do not be defensive." Without that, early drafts hedge too much.

You still have to decide what you're actually offering the customer. Claude can't make that call. But the words around the decision? It handles those well.

3. Writing SOPs

Most small businesses run on institutional knowledge that lives in the owner's head. That's a risk. If you can explain a process out loud, Claude can structure it into a written SOP.

Tell it: "Here is how we handle [process]. Turn this into a numbered SOP with steps, who does each step, and what to do if something goes wrong." Then describe the process in plain language, the way you'd explain it to a new hire.

What you get is a rough first draft of a document that would have taken you a Saturday afternoon. Your job is to read it, fix the gaps, and add the judgment calls that you didn't think to mention. Claude catches the structure. You supply the expertise.

4. Weekly planning

Sunday night. You have 40 open items and no clear order.

Paste your task list into Claude. Tell it you have [X hours] available this week, your biggest constraint is [what it is], and your most important deliverable is [what it is]. Ask it to sort the list into: do this week, do later, cut entirely.

This is not magic. It is a forcing function. Claude will ask clarifying questions if you give it permission to, and the act of answering them helps you think. The output is a prioritized list that takes 10 minutes to produce instead of the 45 minutes you'd spend spinning on it alone.

The limit: Claude doesn't know your business the way you do. Its priority logic is based on what you tell it, not what it can infer. If you leave context out, the output reflects that gap. The more specific your input, the better the result.

5. Summarizing documents you don't have time to read

Contracts. Insurance policies. A vendor proposal. A 40-page franchise agreement.

Paste the document into Claude and ask it to summarize the key terms, flag anything unusual, and list any obligations on your end with their deadlines.

Claude's large context window means it can hold the entire document at once and give you a coherent summary. It won't catch every legal nuance. It is not a lawyer. But it will get you from "I haven't read this" to "I understand what I'm agreeing to" in about three minutes, so you can ask better questions when you talk to your actual attorney.

Where it falls down

Claude is not connected to the internet by default. It doesn't know your industry's current pricing, what your competitors announced last month, or what changed in your local permit requirements. You have to bring that information to the conversation yourself.

It also makes things up. Not often, but it happens. The technical term is hallucination: Claude produces a confident-sounding answer that is factually wrong. For factual claims, numbers, dates, and anything legal or financial, verify what it gives you before you use it. The drafts are good. The facts need checking.

And the first draft is never the final draft. If you paste in a weak prompt and expect a finished deliverable, you will be disappointed. Claude responds to what you give it. Garbage in, garbage in. The more specific and structured your instructions, the better the output.
